JOB SUMMARY:

This position provides administrative support to Child Care Administration leadership and administrative staff. The ideal candidate will utilize customer service skills to frequently communicate with the public, Child Care employees and management. This position requires the candidate to multitask with ordering supplies, maintaining inventory, assist Admin Asst. 3 with duties.

JOB DUTIES: 

-          Performs a variety of administrative task including, research, special projects, reports, etc.

-          Provide quality customer service to communicate and work with staff members, clients, providers and Arizona Department of Child Safety case managers to obtain current and updated mailing information

-          Acts as a local office coordinator to complete research, maintain daily logs, complete reports and alphabetic filing for all client mail received as well as providing travel arrangement assistance as needed

-          Provides administrative support for other district/office supervisors, such as updating Child Care system information screens, inventory supply control and orders for virtual office specialist as needed.

-          May be required to schedule and attend staff meetings and huddles, takes minutes and disseminates to staff and others

-          Provides recruitment information upon request to office staff. May be required to contact and schedule interviews

KNOWLEDGE, SKILLS AND ABILITIES (KSA’S)

-          Advanced knowledge of Microsoft computer software applications and office equipment

-          Knowledge of style and format of email correspondence and memos

-          Experience with screening, routing and filing incoming and outgoing correspondence and telephonic communications

-          Excellent verbal and written communication with internal and external customers

-          Appropriately work with material and information of a confidential nature

-          Use of good judgement handling complex and elevated customer concerns and complaints

-          Ability to work well independently in an environment that requires organization, flexibility and detail oriented planning

-          Ability to complete tasks in a timely manner

SELECTIVE PREFERENCES

-          The ideal candidate in this role will have at least 2 years administrative experience Bilingual, Spanish

PRE-EMPLOYMENT REQUIREMENTS: 

-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees

-          Successfully pass background and reference checks. Employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions

-          AZ Driver’s License
