The Department of Economic Security, Division of Benefits and Medical Eligibility is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 1. This position is responsible for providing detailed knowledge of the Department, Division, Administration and Office policies and procedures and works independently with general instructions on a variety of projects.

Knowledge, Skills and Abilities:

-       General knowledge of the various programs administered and services provided by the Department.

-       Considerable knowledge of communication, conflict resolution, mediation and collaboration techniques.

-       Knowledge of computer programs such as Microsoft Word, Microsoft Excel, Microsoft Outlook, PowerPoint.

-       Excellent written and oral communication skills to convey a wide variety of information.

-       Skills in organization and communication.

-       Skills in balancing a variety of administrative functions, independent problem solving, analyzing information.

-       Skills in customer service, listening, negotiation, monitoring, evaluation.

-       Ability to establish priorities, read understand and interpret issues of a moderate level of complexity, laws, statutes, policies.t

-       Ability to be creative and innovative in approaches to helping staff. 

-       Ability to use computer programs/systems utilized by FAA, Arizona Technical Eligibility System (AZTECS), HEA Plus, OnBase document management system.

Licenses and Certifications:

-          If the position is required to drive on state business, the position will require the possession of and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any driver training (see Arizona Administrative Code R2-10-207.12).

Qualifications:

-          Experience performing clerical duties in an office setting or social services agency preferred.

-          Be able to type 45wpm.

-          Have experience drafting agendas, and taking meeting minutes

-          Have experience with scheduling/calendaring

-          Have professional phone etiquette.

-          Have experience with multi-line phone systems.

-          Be available for travel which may require overnight stay.

-          The ideal candidate will have a strong emphasis on continuous quality improvement, strong work ethic, and the ability to prioritize assigned work tasks with a timely follow through.

-          Excellent listening and strong written and verbal communication skills; excellent customer service skills and initiative; solution-based problem-solving ability are highly desirable.

-          Experience in maintaining cooperative relations and communications with customers, management, and staff while maintaining the ability to uphold a high standard of professionalism is highly preferred.

-          Proficiency in Microsoft Office Suite as well as basic knowledge of software and database programs; meeting the educational requirements is preferred.

-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired state employees

-          Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.
