OFFICE OF THE ARIZONA ATTORNEY GENERAL

The Arizona Attorney General’s Office State Government Division/Agency Counsel Section is seeking a Legal Secretary II. This position provides secretarial support for one or more Assistant Attorneys General . Responsibilities include: preparation of all legal pleadings and documents; drafting and typing correspondence; data entry; reviewing, creating and processing materials/information that are confidential by federal and state laws; and answering inquiries from clients, court personnel and others regarding case activity and status.  The Legal Secretary will independently generate legal forms needed in all types of actions, maintain court calendar and legal deadlines, prepare documents and legal memoranda, and perform other duties as assigned, including transcription. Proficient knowledge of MS Word, Excel and PowerPoint is required. 

REQUIREMENTS

·         Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.

KNOWLEDGE, SKILLS, & ABILITIES

Knowledge needed:

·         Knowledge of word processing equipment, legal terminology, legal forms, court procedures and applicable time-frames.

·         Knowledge of the principles, concepts, practices, methods and techniques common to a modern law office.

·         Knowledge and understanding of the attorney/client relationship including the need for confidentiality and discretion.

·         Knowledge of various computer programs, including but not limited to Outlook, MS Word, MS Excel, PowerPoint and Adobe Acrobat.

·         Knowledge and understanding of rules and procedures of all Arizona State and a variety of federal courts; State and office procedures for acquisition of case-related expenses and current travel policies.

Skills needed:

·         Skill in grammar, punctuation, spelling, basic editing, and composing general correspondence.

·         Skill in effective oral and written communication.

·         Skill in the utilization of word processing programs for efficient and accurate transcription and document production.

·         Skill in interpersonal relations as applied to frequent interaction with applicants, interested parties, and other government agency staff.

·         Skill in navigating the internet for work-related research and court filings.

·         Skill in managing a heavy work load under pressure with multiple changing deadlines.

Abilities needed:

·         Ability to handle a high volume of work with competing deadlines and stressful situations.

·         Ability to track and follow-through on voluminous court actions and line-siting details.

·         Ability to utilize automated case management system and follow office procedures for maintaining and tracking records.

·         Ability to organize, prioritize, and perform varied tasks and track multiple deadlines simultaneously.

·         Ability to communicate effectively and professionally, using good judgment in all interactions with public and other government agencies.

IDEAL CANDIDATE

·         Ideal Candidates will be organized, analytical, detail-oriented, proficient with Microsoft Office, and have exceptional communication and customer service skills.   Civil litigation experience with prior experience assisting an attorney at trial and case management software experience is also helpful.
