JOB SUMMARY & DUTIES

The Arizona Department of Juvenile Corrections (ADJC) is committed to providing the youth under our care and supervision with effective, efficient, and high quality rehabilitation and transformative services in support of your vision, mission, and values.

 

We are seeking an Administrative Assistant III to work under the direction of the Superintendent of Education. This position is responsible for a variety of complex administrative tasks and provides administrative support to education administrators.   

 

Duties include:

 

·         Coordinates and maintains calendar(s), schedules meetings and appointments

·         Maintains files and records in accordance with federal and state rules and regulations

·         Communicates in person, by phone or electronically with outside stakeholders

·         Generates reports     

·         Answers telephones and general office coverage

·         Manages complex special projects

·         Monitors and initiates procurement of office supply inventory

·         Drafts, edits, and proofreads internal and external correspondence

·         Other duties as assigned as related to  the position

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:

·         Principles and practices of office management

·         Educational systems, organizational structure, and mission

·         Characteristics of adjudicated youth

·         Office practices and procedures

·         Proper use of the English language including correct grammar and spelling

·         Ordering and maintaining office supplies

·         Special Education laws

·         Report creation

·         Varied computer software applications such as Microsoft Office, Google G-Suite and agency programs

SPECIAL SELECTION FACTORS

Requires possession of, and ability to retain, a current valid Arizona-issued drivers license.  Employees who drive on state business are subject to driver’s license records checks, maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

PRE-EMPLOYMENT REQUIREMENTS

Successful completion of a comprehensive background investigation and drug test.

SELECTIVE PREFERENCE

Two years of responsible administrative experience and/or a bachelor’s degree in a field appropriate to the assignment.
