Job Description


The Arizona Attorney General’s Office State Government Division/Employment Law Section is seeking a Legal Secretary II.  This position will provide legal secretarial support to attorneys of the Section.  Position responsibilities include assisting with legal and administrative duties such as accurate and timely preparation of a wide variety of legal documents, legal correspondence, petitions, briefs, pleadings, motions and memoranda; accurate and timely maintenance of legal records/files and case management system; completion of docketing, calendaring, filing and appropriate administrative support; appropriate handling of a wide variety of phone calls, correspondence and visitors.  Provide coverage and backup for other support staff. 


·         Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.


Knowledge needed:

·         Knowledge of the attorney/client relationship, including the need for confidentiality and discretion.

·         Knowledge of technical legal terms, formats and wide variety of legal documents.

·         Knowledge of rules and procedures of all Arizona State courts and a variety of federal courts.

·         Knowledge of the sequence of legal actions sufficient to answer a variety of detailed inquiries.

·         Knowledge of legal notices and forms sufficient to complete them from marginal notes, standard paragraphs, verbal/written instructions, and/or similar forms.

·         Knowledge of State and office procedures, including the acquisition of case-related expenses and current travel policies.

·         Knowledge of the use of various pieces of office equipment, i.e. fax machine, copier, scanner, printer, etc.

Skills needed:

·         Skill in grammar, punctuation, spelling and editing;

·         Skill in the operation of various pieces of office equipment, including personal computer, printer, copier, scanner, fax machine, etc.;

·         Skill in transcribing machine dictation;

·         Skill in handling detailed work with accuracy and speed;

·         Skill in performing broad administrative support functions;

·         Skill in monitoring legal requirements and deadlines;

·         Skill in composing a wide variety of complex legal correspondence, contracts, petitions and briefs;

·         Skill in responding to a variety of inquires concerning the progress of legal actions, and in providing information regarding proper procedures.

·         PC and internet literate, proficient with MS Word and Outlook.

·         Skill in transcribing machine dictation.

Abilities needed:

·         Ability to compose routine correspondence;

·         Ability to handle detailed work with accuracy and speed;

·         Ability to handle a wide range of administrative support functions;

·         Ability to monitor legal requirements and deadlines;

·         Ability to prepare a wide variety of complex legal correspondence, petitions, briefs, motions, pleadings, etc.;

·         Ability to efficiently handle a large volume of work, with competing deadlines, following established policies and procedures;

·         Ability to respond to a variety of inquiries concerning the progress of legal actions and in providing information regarding proper procedures;

·         Ability to prioritize workload to include timely filing and file organization;

·         Ability to work independently, with minimal supervision;

·         Ability to proficiently use a personal computer, e-mail, the internet, electronic case filing systems as well as electronic case management and document management software;

·         Ability to use word processing programs for quality document production;

·         Ability to respond to inquiries with tact, diplomacy, and appropriate timely information;

·         Ability to engage and maintain effective interpersonal communication;

·         Ability to effectively report on the progress and needs of support staff training;

·         Ability to exercise good judgment.

·         Ability to get along and work well with others.


·         Ideal Candidates will be a qualified Legal Secretary with Civil Litigation experience, and will be organized, detail oriented self starter with excellent grammar and writing skills.
