JOB SUMMARY:

This position performs a variety of complex administrative tasks to support the Executive Assistant, Director and Deputy Director in the Director’s Office.

JOB DUTIES:

-          Manages the Director’s office project database and inventory

-          Reviews and processes incoming correspondence

-          Researches and compiles various sources of documents using appropriate formatting

-          Researches, interpret rules, regulation and policy to ensure compliance in accordance with agency rules and statutes

-          Manage and track a variety of complex projects assigned by the Director

-          General contact for the Director’s office, screens and tracks all incoming phone calls

-          Maintains Director’s general filing system

-          Orders office supplies and equipment

-          Drives on State business

-          Performs other duties appropriate to the assignment

SPECIAL SELECTION FACTOR(S) – THE FOLLOWING ARE REQUIRED:

Requires possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

-          Principles and practices of office administration and management

-          Problem solving and research techniques

-          Project planning and tracking concepts

-          Database and spreadsheet development and maintenance

-          Office practices and procedures

-          Computer usage and various software programs (Microsoft Suite and Google Suite )

Skill in:

-          Written and verbal communication

-          Establishing and maintaining interpersonal relationships

-          Composing business correspondence, reports and technical procedures

-          Business English including grammar and composition

-          Time management and organizational techniques

-          Customer service

Ability to:

-          Adapt to changing priorities and management styles

-          Assess and respond to issues with tact and diplomacy

-          Maintain confidentiality

-          Effectively interpret and communicate policies, procedures, rules and regulations

-          Assign and track project completion and assigned deadlines

-          Coordinate and schedule events and meetings

-          Interact professionally with individuals at all levels of the agency and public

-          Work independently with minimal supervision

SELECTIVE PREFERENCE(S) - IDEAL CANDIDATE WILL POSSESS:

-          Five year experience providing administrative assistance to executive level management and extensive computer software skills

PRE-EMPLOYMENT REQUIREMENTS: 

Employment is contingent on the selected applicant passing a background investigation.

RETIREMENT: 

Positions in this classification participate in the Arizona State Retirement System (ASRS).
