This position will also be responsible for the day-to-day tasks and administrative duties of the office, including but not limited to setting up interviews with potential candidates; follow up on reference checks, employment,  and school verification; coordinating interviews with nursing staff; coordinating information with HR; covering staffing office and creating daily and monthly staffing report sheets; taking minutes for formal meetings; and performing clerical tasks such as providing excel reports as requested and needed to support the ACNO and hospital staffing needs

Nursing Administrative Assistant

The Arizona State Hospital (ASH) is located on a 93 acre campus at 24th Street and Van Buren, in Phoenix, Arizona.  ASH provides long-term inpatient psychiatric care to Arizonans with mental illnesses that are under court order for treatment. ASH protects the rights and privileges of each patient, including the patients’ rights to confidentiality and privacy. Treatment at ASH is considered “the highest and most restrictive” level of care in the state. Patients are admitted as a result of an inability to be treated in a community facility or due to their legal status.  Hospital personnel provide state-of-the-art inpatient psychiatric care and are committed to treating patients and personnel with dignity and respect.  Interdisciplinary care is delivered in collaboration with the patient, family, legal representatives and community providers with a focus on recovery and community reintegration.

JOB SUMMARY

This position will also be responsible for the day-to-day tasks and administrative duties of the office, including but not limited to setting up interviews with potential candidates; follow up on reference checks, employment,  and school verification; coordinating interviews with nursing staff; coordinating information with HR; covering staffing office and creating daily and monthly staffing report sheets; taking minutes for formal meetings; and performing clerical tasks such as providing excel reports as requested and needed to support the ACNO and hospital staffing needs

Responsibilities include:

        Utilizing recruitment tools: Talent Acquisition software to review candidate resumes, reviewing employment, education and license verification for prosp ective nursing candidates

        Reviewing information with ACNO on information post interview and collaborating and coordinating with HR recruiters serving as a liaison for Nurse Managers regarding the hiring process

        Developing scheduling plans for interview process with nursing management  and assigning the scheduling for panel interviews weekly

        Creating, tracking and compiling data to prevent duplicate  work issues related to candidate files

        Serving as reference person for all candidates post interview to a nswer any questions

        Providing administrative support to the staffing office including answering phones, maintaining leave log for employees on required administrative disciplinary leave, documenting call offs and designates appropriate category (sick, annual, FMLA, industrial )

        Creating daily and monthly staffing report sheets and maintaining contract employee files for compliance with all competencies

        Assisting with pool employees scheduling including  tracking work hours for compliance with pool guidelines

        Providing administ rative support to the Nursing Administrative offices and covering other administrative assistants in their absence

        Responsible for purchase orders, setting up and coordinating meetings, ensuring office equipment is properly maintained and serviced, and mon itoring and maintaining of office supplies

        Maintaining required clinical supervision documents and providing reports monthly to PNUMs to ensure compliance with completion

Position Requirements include:

-        This position requires a high school diploma or equivalent

-        Knowledge of all Microsoft Office packages with emphasis on use of various communication tools; basic human resources and hiring process; sites and navigation of same for obtaining licensing and certification information for potential new hires

-        Skills in organizational, administrative and analytical thinking; excellent spelling, proofreading and computer skills; verbal and written communication; interpersonal skills to interact with professional and para-professional hospital staff;  phone skills and customer service aptitude

-        Ability to maintain confidentiality; produce consistently accurate work even while under pressure; multi-task and manage conflict demands, adapt quickly to changes in priorities, and to remain calm in stressful situations/emergencies; conduct self in a professional manner at all times; problem solve and work independently and to perform specialized tasks as required

Preferred Qualifications:

        3 years' experience performing general office procedures

        Associate's Degree and 3 or more years of experience in a healthcare or hospital environment

        Preference will be given to candidates with prior Public Health experience

Employment Requirements

A State Hospital employee must be able to obtain a valid Level One Fingerprint Clearance Card pursuant to A.R.S. § 41-1758.07. Requires possession of and ability to retain a current, valid state-issued driver’s license appropriate to the assignment.  Employees who drive on state business are subject to driver’s license checks, must maintain acceptable driving records and must complete any driver training (See Arizona Administrative Code R2-10-207.12).
