Prison Operations Division/Time Computation Unit

This position performs moderate to complex administrative support duties for the Time Computation Unit


-          Maintains monthly tracking log and daily counts of all incoming intake packets

-          Responsible for all incoming intake packets; track and annotate on Arizona Department of Corrections (ADC) automated system for files pulled for release

-          Maintains Offender Master Files by sorting, filing, retrieving, replacing information and documents in a timely and accurate manner

-          Researches court documents received, verifying necessary entries on the ADC automated system ensuring data is accurate

-          Establishes, develops, maintains and updates filing system for the Time

Computation Unit

-          Retrieves information from files when needed by the Time Computation Tech Specialist

-          Responds to incoming and outgoing letters, including e-mail and faxes

-          Responds to regularly occurring requests for information from the public, law enforcement agencies, courts, county attorneys, attorney general office and other correctional agencies

-          Logs and records information in the Adult Information Management System (AIMS) and other software related programs as needed

-          Review court documents/audit automated system for data input

-          Drives on State Business

-          Performs other duties appropriate to assignment


Requires possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).


Knowledge of:

-          Arizona Department of Corrections (ADC) policies and procedures relating to offender files

-          Arizona Revised Statutes (ARS), State and Federal Laws pertaining to release of information

-          Office practices and procedures

-          Alpha/numeric digit filing systems

-          Business English, grammar and computation

Skill in:

-          Verbal and written communication

-          Understanding legal terminology

-          Monitor for accuracy of offender records and documents

-          Attention to detail, problem solving and decision-making skills

-          Effective time management and organization

-          Personal computers and software including Microsoft Suite


Ability to:

-          Learn and adhere to State and Federal laws

-          Ability to work with material of a technical and/or confidential nature; deal with the public using appropriate tact and resourcefulness

-          Operations of office equipment; copiers, fax, and telephones

-          Multi-task and use critical thinking



-          Previous experience with Adult Information Management System (AIMS)

-          Previous filing experience in an office environment

-          High School Diploma or GED


Employment is contingent on the selected applicant passing a background investigation.

Positions in this classification participate in the Arizona State Retirement System (ASRS).  Enrollment eligibility will become effective after 27 weeks of employment.
