OFFICE OF THE ARIZONA ATTORNEY GENERAL

The Arizona Attorney General’s Office State Government Division/Education & Health Section is seeking a Legal Secretary II.  This position will prepare a wide variety of legal documents and correspondence under the direction of both Education and Health attorneys; file documents with the Office of Administrative Hearings, Superior Court, Appellate Court, or Federal Court; maintain both paper and electronic case files; review material for grammatical construction, content, clerical error, and formatting to ensure all legal documents and enclosures are complete and in compliance with court requirements and agency standards; assist secretaries in the sections as needed and as business needs dictate; maintain various manuals, file rooms, general section cleaning, and maintenance. Timeliness, accuracy, and quality work product is required, as is, regular attendance and dress code compliance.

REQUIREMENTS

·         Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.

KNOWLEDGE, SKILLS, & ABILITIES

Knowledge needed:

·         Knowledge of Federal and State requirements for filing documents in various courts;

·         Knowledge of technical legal terms and various legal forms and documents;

·         Knowledge of the sequence of legal actions sufficient to answer a variety of detailed inquiries;

·         Knowledge of legal notices and forms sufficient to complete them from marginal notes, standard paragraphs, verbal/written instructions, and/or similar forms.

Skills needed:

·         Skill in handling detailed work with accuracy and speed;

·         Skill in transcribing machine dictation;

·         Skill in performing broad administrative support functions;

·         Skill in monitoring legal requirements and deadlines;

·         Skill in formatting and editing a variety of complex legal correspondence, contracts, petitions, and briefs;

·         Skill in responding to a variety of inquiries concerning the progress of legal actions, and in providing information regarding proper procedures.

·         Skill in keyboard and computer use (manual dexterity).

Abilities needed:

·         Ability to proficiently use electronic case filing systems as well as electronic case management and document management software;

·         Ability to prioritize workload to include timely filing and file organization;

·         Ability to efficiently handle large volume of work, with competing deadlines, following established policies and procedures.

·         Ability to respond to inquiries with tact, diplomacy, and appropriate timely information;

·         Ability to work well with others, use good judgment and discretion.

IDEAL CANDIDATE

·         Ideal Candidates will have prior legal secretary experience.
