The Department of Child Safety is seeking a Medical Administrative Assistant to provide high-level administrative support to the Comprehensive Medical and Dental Program (CMDP) Health Services Unit’s Chief Medical Officers and Medical Director.

JOB DUTIES: 

-          Assists with document preparation including synthesizing information/data from multiple sources into executive summaries, and editing as appropriate

-          Prepares summary reports for medical leadership (statistical and narrative)

-          Prepares weekly and monthly visual management updates

-          Assists the CMDP Chief Medical Officers with general oversight of day-to-day office operations which includes, delegating projects to CMDP staff and ensuring projects are completed, reviewing processes and implementing process improvement solutions, composing/preparing email correspondence, ordering office supplies and maintaining inventory

-          Manages calendars and schedules for both Physical Health and Behavioral Health Chief Medical Officers and other Medical Director staff as needed

-          Assists with directive research assignments and provides project management support

-          Coordinates internal and externally-facing meetings and events; to include attending meetings on behalf of the Chief Medical Officers, and compiling/disseminating meeting minutes

-          Performs other duties appropriate to the assignment

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

-          Office professional principles and practices

-          Intermediate to advanced operational  knowledge of Microsoft Office (Outlook, Word, One Note, Excel and Power Point)

-          Business English, grammar and spelling

-          Computer applications

-          Gathering data and generating statistical reports

-          Synthesizing data from multiple sources

-          Working as part of a multi-disciplinary team

-          Verbal and written communication

-          Establishing and maintaining interpersonal relationships

 

Ability to:

-          Plan, coordinate, analyze and establish priorities

SPECIAL SELECTION FACTOR(S): 

Requires the possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

 

Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration.

 

Must be able to secure and maintain clearance from the CPS Central Registry.

PREFERRED QUALIFICATION(S):

-          Experience in healthcare

-          Knowledge of medical and behavioral health terminology
