The Department of Economic Security Division of Employment and Rehabilitation Services is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 3. This position will be responsible for assisting in managing the day-to-day operations of this new office location.

 

This posting will remain open until a sufficient number of resumes are received

Job Duties:

-          Attendance tracking, including tracking and data of ETE timecards

-          Completing facilities requests, supply orders, and maintenance requests for state vehicles

-          Travel, mileage, and expense reports

-          Report creation and maintenance

-          OnBoarding new staff

-          Mailing communications

-          Liaison to Human Resources for projects and tasks

-           

Knowledge, Skills and Abilities:

-          Knowledge of standard office administrative practices and procedures

-          Knowledge of business correspondence formatting; proper grammar, spelling, and punctuation

-          Knowledge of customer service skills, and ability to provide effective customer service to the public

-          Knowledge of common computer software programs (Excel, Outlook, Word), and office equipment

-          Strong communication skills (both oral and written)

-          Ability to manage time and work efficiently

-          Ability to develop effective office procedures

-          Ability to type 35 - 45 words per minute

-          Ability to balance, prioritize and organize multiple tasks, creating deadlines and completing follow-up

-          Ability to work collaboratively in teams and across organizations

-          Ability to synthesize feedback and adjust plans accordingly

-          Ability to build strong relationships inside and outside the organization

Licenses and Certifications:

-          Employees may be required to drive on state business, and must have and retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any driver training (see Arizona Administrative Code R2-10-207.12). Employees may be required to utilize their personal vehicle, and maintain current auto insurance and registration, however, mileage will be reimbursed.

 

Qualifications:

-          Must have a high school diploma or general equivalency diploma (G.E.D.)

-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired state employees

-          Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.
