ADMINISTRATIVE ASSISTANT III

JOB SUMMARY:

This position completes administrative and special projects as requested by the Warden and Executive Staff Assistant.

JOB DUTIES: 

-          Researches and responds to administrative matters

-          Drafts correspondence

-          Prepares reports

-          Interprets and explains organizational rules

-          Maintains Warden’s operating budget

-          Orders supplies, materials, and equipment

-          Directs and maintains inmate work activity

-          Represents Warden’s office at committee meetings, and attends staff meetings

-          Coordinates activities with outside organizational entities

-          Supervises professional and/or clerical personnel

-          Develops and modifies procedures and forms to improve program effectiveness

-          Coordinates administrative matters between units

-          Drives on State business

-          Performs other duties appropriate to the assignment

SPECIAL SELECTION FACTOR(S) – THE FOLLOWING ARE REQUIRED:

Requires possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

Knowledge of:

-          Develop effective operating procedures

-          Assess situations and make sound decisions

SELECTIVE PREFERENCE(S) - IDEAL CANDIDATE WILL POSSESS:

-          Three (3) years of administrative experience reporting to a manager, executive, or administrator position OR

-          Bachelor’s degree with two (2) years responsible administrative experience OR

-          Master’s degree with one (1) year responsible administrative experience

-          Intermediate to advanced knowledge of Microsoft Word, Excel, Outlook, etc.

PRE-EMPLOYMENT REQUIREMENTS: 

Employment is contingent on the selected applicant passing a background investigation and a drug test*.
