JOB SUMMARY

The position of the Administrative Services Officer is responsible for ensuring that business functions for all programs in the Bureau of Public Health Statistics are accurately maintained and administered. The individual in this role will be responsible for all administrative services in the Bureau provided to the Special Registries programs, the Statistics program, the BRFSS program, and the Hospital Discharge and Cost Reporting program. This position will also coordinate the implementation of the Arizona Management System, and support other needful areas within the bureau using electronic/informatics methods to improve efficiency, and minimize time and effort in these areas by Bureau personnel.

What will I be doing in this job?

-         Conducting authorized bureau purchasing and travel and act as travel coordinator for the bureau

-         Physical and data software inventory management and control, includes database development and/or maintenance

-         Developing and maintaining databases of all bureau resources standard policies and procedures, data sharing agreements and contracts

-         Developing, managing, and maintaining internal processes to provide support and direction for management

-         Coordinating equipment maintenance, maintaining office supplies, establishing and maintaining bureau confidential employee contact information

-         Producing, analyzing and administering ad hoc reports, and official correspondence documents

What does this job require?

-         Knowledge of Microsoft Office applications 

-         Knowledge of G Mail

-         Knowledge of concepts of program planning and design

-         Knowledge of English grammar, proper writing and formatting

-         Knowledge of general budgeting/funding principles methods

-         Knowledge of new and emerging technologies

-         Knowledge of Performance Management (PM), and Continuous Quality Improvement (CQI) and Lean methodologies

-         Skill in courteous, professional public messaging, including by phone, and in written media such as email

-         Skill in working independently

-         Skill in working as part of a team, interacting tactfully with staff and the public

-         Skill in oral and written communications, proper grammar, spelling, and writing

-         Skill in problem solving skills

-         Skill in communication with internal and external customers and agencies

-         Organize complex processes in software media, such as spreadsheets, that can be shared across a network

-         Ability to maintain a high level of confidentiality without any unauthorized disclosure

-         Ability to use email, including copy and paste from template messages

-         Ability to develop, and follow written procedures 

-         Ability to read, analyze, interpret, and review written narrative and messaging, and to edit for desired tone

-         Ability to clearly explain detailed instructions in writing

-         Ability to read and interpret state statues and rules governing the bureau.

-         Ability to organize, and establish priorities with minimal direction

-         Ability to efficiently manage time to meet deadlines and objectives

-         Ability to troubleshoot and provide solutions

Qualifications?

The ideal candidate will have:

-         Bachelor's Degree in either business or public administration with 3 years’ work experience or a related field OR Minimum of 6 years’ high level experience in data structure design and database use, inventory control, materials management, purchasing or other related field

-         Master's degree in a related field may substitute for 1 years of work experience

Licenses and Certifications?

Driving is required for State Business.

-          Employees who drive on state business require possession of and the ability to retain a current, valid state-issued driver’s license appropriate to the assignment.  Employees who drive on state business are subject to driver’s license checks, must maintain acceptable driving records and must complete any driver training (See Arizona Administrative Code R2-10-207.11).
