Job Description

The position reports to the Executive Director, or designee, and has frequent contact with the staff in the agency. Under direction, performs administrative work in a staff capacity and performs related work as required. Performs duties related to data entry, correspondence, spreadsheets related to agency activities, standard administrative and customer service duties. Supports activities related to Board meetings including preparing documents and environment and post meeting follow-up.

  • Standard administrative duties such as ordering of supplies, registering for educational events, scanning of documents, correspondence, copying, sorting, binding, distributing, minute taking, processing of incoming and outgoing mail, logging of information into Optimal Regulatory Board System (ORBS), logging attendance, processing consent agreements and other documents, preparing newsletter, Board meetings preparation and follow-up activities.
  • Investigative process support such as assisting with file reviews, sending letters, preparing investigative documents such as subpoenas, initial letters, and investigative questionnaires. Processing consent agreements and case documents, preparing certified mail, scanning, filing, preparing Board documents, Running Department of Economic Security (DES) reports, logging of mail and other correspondence into ORBS.
  • Customer service duties such as answering phones, assisting with meeting set up, coordinates administrative matters between organizational units, composes correspondence on a wide variety of subjects, coordinates activities with other departments, agencies, community organizations and others, receive and screen a variety of correspondence, visitors, and telephones calls.
  • Optimal Regulatory Board System (ORBS) duties such as issuing license waivers, processing death certificates, name and address changes. Logging of mail and other correspondence into ORBS.
  • Performs related duties as assigned.

  JOB SUMMARY

The successful incumbent:

  KNOWLEDGE, SKILLS, & ABILITIES

 

Knowledge of the AZBN general policies and procedures; Nurse Practice Act; standard office administrative practices and procedures; phone etiquette, confidentiality standards, business correspondence formating, proper grammar, spelling, math, and punctuation; knowledge of a variety of general computer software packages (i.e. Microsoft Word, Excel, Power Point, Google DOC, Google Sheets. Google Slides. Google Drive, etc.); basic office and clerical procedures; file maintenance practices; state and agency procedures.

 

Skill in oral and written communication; organization; prioritization, detail-oriented; data collection and problem solving; exercising discretion when dealing with confidential client information; analyzing administrative and procedural problems; multi-tasking multiple projects; eliciting and gathering information, time management; handling detailed work with accuracy and speed; wide range of administrative support functions; responding to a variety of complex inquiries concerning the Board processes; responding to the public with professionalism, diplomacy and appropriate timely information.

 

Ability to plan, analyze, coordinate activities, and establish priorities; adapt to changing priorities, develop effective operating procedures, work independently with minimal supervision; operate a personal computer, establish and maintain cooperative/professional working relationships with staff, community agencies, and the public; track data. Ability to recognize and engage those with different backgrounds, characteristics and perspectives to bridge gaps in understanding of differing viewpoints, as well as ensuring persons with diverse perspectives are given the opportunity to collaborate and provide input in the decision making process.
